How to Create an Automatic Running Header & Footer in Adobe InDesign

Adobe InDesign is a powerful tool for creating professional layouts, and one essential feature for books, reports, and multi-page documents is the running header and footer. These elements help maintain consistency and improve navigation. In this tutorial, we will guide you through the easiest way to set up automatic headers and footers in InDesign.

What is a Running Header & Footer?

A running header appears at the top of each page and usually contains titles, chapter names, or section headings. A running footer appears at the bottom and may include page numbers, author names, or copyright information.

Steps to Create a Running Header & Footer in InDesign

1. Use Master Pages for Consistency

Master Pages allow you to create a layout that applies to multiple pages at once.

  • Open your InDesign document.

  • Go to Window > Pages to open the Pages Panel.

  • Double-click on A-Master to edit the Master Page.

2. Add a Text Frame for the Header and Footer

  • Select the Type Tool (T) and draw a text box at the top for the header.

  • Repeat the same at the bottom for the footer.

3. Insert a Running Header Using Text Variables

  • Click inside the header text frame.

  • Go to Type > Text Variables > Insert Variable > Running Header.

  • Choose Edit Text Variables if you want to customize it.

4. Add Automatic Page Numbers

  • Click inside the footer text frame.

  • Go to Type > Insert Special Character > Markers > Current Page Number.

  • A letter (like A) will appear, which means it will automatically change on different pages.

5. Apply the Master Page to Your Document

  • Go to the Pages Panel.

  • Drag the A-Master onto the pages where you want headers and footers.

  • Your running headers and footers will now appear automatically!

Final Tips

✔ Use different Master Pages if you need different headers for odd and even pages.
✔ Adjust the text styles using Paragraph Styles for a professional look.
✔ If your headers need to change dynamically, use Section Markers under Layout > Numbering & Section Options.

By following these steps, you can easily create automatic running headers and footers in Adobe InDesign, saving time and improving the readability of your documents.
