How to Make 100+ ID Cards Automatically in Adobe InDesign | Data Merge Tutorial

Creating hundreds of ID cards manually is time-consuming. Adobe InDesign's Data Merge feature lets you automatically generate professional ID cards using Excel or CSV data within minutes.

Watch the complete video tutorial above before following the written steps.

What is Adobe InDesign Data Merge?

Data Merge is one of Adobe InDesign's most powerful automation features. It allows designers to import data from a CSV or TXT file and automatically create personalized documents such as employee ID cards, student ID cards, certificates, business cards, mailing labels, and event badges.

Instead of editing each card individually, you create one design template and let InDesign generate all records automatically.

Benefits of Data Merge

  • Save hours of manual work
  • Create hundreds of ID cards instantly
  • Reduce typing mistakes
  • Professional and consistent output
  • Perfect for schools and companies
  • Supports images and QR Codes

Requirements

Before starting the Data Merge process, make sure you have the following ready:

  • Adobe InDesign (Any recent version)
  • Microsoft Excel or Google Sheets
  • CSV (Comma Separated Values) file
  • Passport-size photographs
  • ID Card template
  • Company or School Logo

Step 1 – Prepare Your Excel File

Create an Excel spreadsheet containing all the information you want to appear on each ID card.

Name ID Number Department Blood Group Photo
John Smith EMP001 HR O+ john.jpg
Sarah Lee EMP002 Accounts A+ sarah.jpg

Important Tips:

  • Save the spreadsheet as CSV.
  • Photo filenames must exactly match the image names.
  • Keep all photos inside one folder.
  • Avoid blank rows in the spreadsheet.

Step 2 – Design the ID Card

Create one professional ID card design inside Adobe InDesign.

Include placeholders for:

  • Company Logo
  • Employee Photo
  • Name
  • ID Number
  • Department
  • Designation
  • Blood Group
  • QR Code
  • Signature
  • Expiry Date
Tip: Use Paragraph Styles and Character Styles to keep all cards consistent.

Step 3 – Import the CSV File

Go to

Window → Utilities → Data Merge

Click the panel menu and choose Select Data Source

Browse and select your CSV file.

Your field names will now appear in the Data Merge panel.

Step 4 – Insert Merge Fields

Place the cursor inside each text frame and click the required merge field.

Example:

  • <<Name>>
  • <<Employee_ID>>
  • <<Department>>
  • <<Blood_Group>>

For the photo, draw an image frame and insert the Photo field from the Data Merge panel.

Every record will automatically display its own image and information.

Step 5 – Preview the Records

Enable Preview inside the Data Merge panel.

Check every record carefully before creating the merged document.

  • Correct Names
  • Correct Images
  • Text Alignment
  • Missing Photos
  • Overset Text
  • Spelling Mistakes

Step 6 – Generate Hundreds of ID Cards

Click Create Merged Document

Choose:

  • All Records
  • Multiple Records Per Page (Optional)
  • Proper Margins and Spacing

Click OK. Adobe InDesign automatically creates one ID card for every record in your CSV file.

🎉 That's it! Your personalized ID cards are generated automatically in just a few clicks.

Frequently Asked Questions

1. Can I create more than 100 ID cards?

Yes. Adobe InDesign Data Merge can generate hundreds or even thousands of ID cards automatically from a CSV file.

2. Can Data Merge import photos?

Yes. If your CSV file contains the correct image filenames or paths, InDesign can automatically place the corresponding photos into each ID card.

3. Which file format should I use?

CSV (Comma Separated Values) is the most commonly used format for Data Merge.

4. Can I use this method for certificates and name badges?

Absolutely! Data Merge is also perfect for certificates, event badges, business cards, mailing labels, and many other personalized print projects.

Conclusion

Adobe InDesign Data Merge is one of the best automation tools for graphic designers and print professionals. Instead of creating each ID card manually, you can prepare a single template and automatically generate hundreds of personalized cards within minutes.

If you regularly create employee ID cards, student ID cards, visitor passes, or membership cards, learning Data Merge will save you significant time and improve your workflow.

We hope this tutorial helps you automate your next ID card project with ease.

How to Duplicate Objects FAST in InDesign Using Arrow Keys Only

How to Duplicate Objects FAST in InDesign Using Arrow Keys Only

(No Alt/Option Needed)
🎥 Video Tutorial:<

Many users think you must use Alt/Option + Drag to duplicate objects in Adobe InDesign.
But some keyboards and laptops don’t support those keys correctly.
Good news: You can duplicate objects FAST using Arrow Keys only — exactly like shown in the video.

This method is clean, accurate, and extremely quick for creating repeated layouts.

1. Select the Object

Choose the object you want to duplicate:

  • Shape

  • Text Frame

  • Image Frame

  • Grouped items

Use the Selection Tool (V).

2. Use Arrow Keys to Set the Spacing

Arrow keys help you set the exact gap you want:

  • → Right Arrow = Move right

  • ← Left Arrow = Move left

  • ↑ Up Arrow = Move up

  • ↓ Down Arrow = Move down

1 Arrow press = 1pt move
Shift + Arrow = 10pt move

This step is important because InDesign remembers your last movement.

3. Copy → Paste → Repeat Movement Trick

If you don’t have Alt/Option, use this simple duplication method:

Steps

  1. Select the object

  2. Press Ctrl + C (Copy)

  3. Press Ctrl + V (Paste)

  4. Move the pasted object once using Arrow Keys (this sets the spacing)

  5. Now press Ctrl + V again
→ The new duplicate will automatically appear with the same spacing

  6. Press Ctrl + V repeatedly to create a perfect row of duplicates

Why it works

InDesign memorizes your last arrow-key movement and applies it to every new pasted object.

4. Create Perfect Horizontal Rows

Example:

  • Ctrl + V

  • Move 2 steps right using → →

  • Press Ctrl + V again

  • New object appears exactly 2pt right

  • Keep pressing Ctrl + V to build your row

5. Create Vertical Columns

Same method:

  • Ctrl + V

  • Press ↓ Arrow to set vertical gap

  • Ctrl + V again

  • Keep pressing to build a perfect vertical column

Great for:

  • Photo grids

  • Buttons

  • Boxes

  • Layout patterns

6. Arrow Keys = Perfectly Consistent Spacing

Arrow keys give you:

  • Exact control

  • Cleaner alignment

  • No spacing mistakes

  • Faster repeated layout building

This is especially useful for designers who need pixel-perfect alignment.

7. Pro Tip

Once you move the first duplicate using arrow keys to set the gap,
You never need to use arrow keys again.
Just press Ctrl + V repeatedly, and InDesign will auto-place every new object with the exact same spacing.

8. Conclusion

Even without Alt/Option keys, you can still duplicate objects fast, clean, and accurately in Adobe InDesign.

Just follow this formula:

Copy → Paste → Move Once → Paste Again → Paste Again → Paste Again…

How to Create an Automatic Running Header & Footer in InDesign – Easy Tu...

How to Create an Automatic Running Header & Footer in Adobe InDesign

Adobe InDesign is a powerful tool for creating professional layouts, and one essential feature for books, reports, and multi-page documents is the running header and footer. These elements help maintain consistency and improve navigation. In this tutorial, we will guide you through the easiest way to set up automatic headers and footers in InDesign.

What is a Running Header & Footer?

A running header appears at the top of each page and usually contains titles, chapter names, or section headings. A running footer appears at the bottom and may include page numbers, author names, or copyright information.

Steps to Create a Running Header & Footer in InDesign

1. Use Master Pages for Consistency

Master Pages allow you to create a layout that applies to multiple pages at once.

  • Open your InDesign document.

  • Go to Window > Pages to open the Pages Panel.

  • Double-click on A-Master to edit the Master Page.

2. Add a Text Frame for the Header and Footer

  • Select the Type Tool (T) and draw a text box at the top for the header.

  • Repeat the same at the bottom for the footer.

3. Insert a Running Header Using Text Variables

  • Click inside the header text frame.

  • Go to Type > Text Variables > Insert Variable > Running Header.

  • Choose Edit Text Variables if you want to customize it.

4. Add Automatic Page Numbers

  • Click inside the footer text frame.

  • Go to Type > Insert Special Character > Markers > Current Page Number.

  • A letter (like A) will appear, which means it will automatically change on different pages.

5. Apply the Master Page to Your Document

  • Go to the Pages Panel.

  • Drag the A-Master onto the pages where you want headers and footers.

  • Your running headers and footers will now appear automatically!

Final Tips

✔ Use different Master Pages if you need different headers for odd and even pages.
✔ Adjust the text styles using Paragraph Styles for a professional look.
✔ If your headers need to change dynamically, use Section Markers under Layout > Numbering & Section Options.

By following these steps, you can easily create automatic running headers and footers in Adobe InDesign, saving time and improving the readability of your documents.
